01Who this covers
MTC Hub is the internal platform of MTC Facility Solutions LLC (“MTC”, “we”). It is used by MTC staff, leads and administrators. Accounts are created by an administrator; there is no public sign-up. This policy explains what we keep about you and why.
02What we collect
- Account and profile: your name, work email, role, department, phone number, birthday, bio and profile photo.
- Work records: weekly reports, daily standups, performance reviews and scores, kudos you send or receive, points, badges, challenges and goals.
- Leave: leave and emergency-leave requests, dates, reasons and decisions.
- Pay: salary, payments, payslips, proof of payment, and the payout details you give us (bank account, M-Pesa number or a USDC wallet address).
- Documents: files you upload, such as your CV, ID or passport, contract and certificates.
- Emergency contacts and work equipment: next of kin you add, and the machines and equipment you record as received for work.
- Feedback and concerns: feedback and compliments you send colleagues, and any confidential complaint you raise. Complaints can only be read by the super admin.
- Working time and activity: when you clock in and out, and a record of the actions you take on the platform (for example sending a report, requesting leave, giving kudos or uploading a document). Admins see this as a team activity feed, so they can support people and keep the team in sync.
- Technical: a sign-in cookie that keeps you logged in, and basic server logs needed to keep the platform running and secure.
03How we use it
To run the team: manage your account, record your work and rank, process leave, pay you correctly, notify you about things that need your attention, and keep the company's records. We do not sell your information and we do not use it for advertising.
04Who can see what
- Everyone signed in can see colleagues' names, roles, photos, points, badges and the leaderboard.
- Your manager can see your reports, reviews, leave requests and documents.
- Administrators can see everything about a staff member, including pay, payout details, documents, working hours, activity and kudos, so they can run payroll and oversee the platform. Leads see working hours for their own team.
- The public front page shows only your name, role, photo, points, badges and streak on the leaderboard. You can switch yourself off it from your profile.
- Your payout details, ID documents and next of kin are never shown to other staff. Confidential complaints are visible only to the super admin.
05Where it is stored and how it is protected
Data is held with our hosting and database providers (Vercel and Supabase). Uploaded documents sit in private storage and can only be opened through the platform after a permission check. Passwords are stored as one-way hashes, never in readable form. Access is limited by role. No system is perfectly secure, so keep your password private and tell an administrator straight away if you think your account was used by someone else.
06Crypto payouts
If you choose to be paid in USDC, you provide a wallet address on the Ethereum network. We use it only to send your pay. Blockchain transfers cannot be reversed, so check the address carefully; MTC cannot recover funds sent to a wrong address you supplied.
07How long we keep it
We keep staff records for as long as you work with MTC and afterwards for as long as needed for payroll, tax, legal and audit purposes. You can delete documents you uploaded from your profile; an administrator can remove an account when it is no longer needed.
08Your choices
You can view and update your profile and payout details at any time, choose whether you appear on the public leaderboard, and ask your administrator for a copy of your information or for corrections. Where the law gives you further rights over your personal data, you can use them by contacting us.
09Contact
Questions about this policy or your data: speak to your administrator, or contact MTC Facility Solutions through mtcfacilitysolutions.com. If we change this policy we will update the date below.
